COVID-19 Statement Update
18 March, 2020
During the past few weeks, Mail Solutions has been making every effort to take necessary steps to protect the health and safety of its employees and guarantee the continuity of our operations.
At the same time many stakeholders have enquired with us about our contingency plans in response to these exceptional circumstances that we all face. Therefore, we have provided below a summary of the measures we implemented thus far so we remain fully operational as a business.
Information Notices – Signage with details of virus symptoms and what employees should do if feeling unwell (e.g. self-isolation) are on display throughout each site.
Personal Hygiene – Employees are encouraged to wash their hands often using soap and water or hand sanitiser gel. Also, to cover their mouth and nose with a tissue when coughing or sneezing, then bin it immediately and wash hands afterwards.
Site Cleaning – We have increased the level of cleaning programmes undertaken at each site to reduce the risk of passing on infection.
Non Essential Contact – Employees are being encouraged to restrict their movements at each site, in order to minimise contact and potential risk of spreading the virus.
Meetings – All face to face meetings have been suspended internally and externally for the foreseeable future, which are now being replaced through digital communication channels (e.g. telephone, Skype).
Employee Contingency – Plans have been put in place to ensure sufficient staffing levels can be maintained for each business department (e.g. Customer Services) at all times.
Supplier Continuity – We have contacted our main supply chain partners and received confirmation of continuity of stock for the short-medium term. We do also have agreements in place for secondary supplies should our main suppliers encounter any problems.
Enhanced Stocks – We are building appropriate stock levels of key raw materials in readiness to help support clients on their own contingency needs.
Multi-Site Group – As a multi-site manufacturing group we are able to transfer production and associated services to other sites if needed to ensure continuity in supply to clients.
We will continue to follow the advice from Public Health England, the World Health Organisation and both local and national government. Our team are ready and waiting to assist clients with any envelope and print requirements you may have, whether it be an urgent campaign, a top of existing stocks or simply a new project.
Again, if you have additional queries or would like further clarification, please do not hesitate to contact us.
